SKI BUDDIES Planning Meeting Minutes: 12 May 2008

Attendees
Cathy Jessup, Mark Pollock, Vincent Chau, Gil Price & Greg Snider met at Gil’s place for our last planning meeting of the 2007-2008 winter sport season. Thanks for hosting us, Gil.
Ski Buddies Presence at Pride:
• This year Pride will be 11am-7pm Sunday, June 29th.
• The official web-site is: www.seattlepride.org and the Sunday PrideFest Festival site is: http://www.seattlepridefest.org/sponsorship.htm.
• Our timing is pretty close since the prices on booths all increase on Thursday, May 15 – so we should act quickly if we are going to act. They have raised the rates for most of the non-profit options:
o Local Non-Profit Business/Networking Group: $600 ($650 after 5/15) Mark indicates we are a networking group.
o Local Non-Profit Advocacy Group: $375 ($400 after 5/15).
o Non-Profit table inside the Fisher Pavilion: $75 - but a limited number are available.
• We collectively agree $600 is a lot of cash for visibility in the community – especially since most people are thinking of anything but skiing in June. We decide it might be within reach if we could co-sponsor a booth with another sports club like OutVentures. While OutVentures did an inside table last year, we decide to find out what they are doing this year. If they’re interested in sharing space & rent with us, placement with OutVentures would be good. Since there is overlap in membership, it could be a good synergy for shared cost and staffing.
• OutVentures contacts include president Don Dusenic; secretary Laura Shoo, and trip/ leader coordinator Shane Balleweg. Cathy agrees to email their club secretary (Laura Shoo) tonight to find out if they’re interested.
• Gil said they still have our $50 deposit from last year – so whoever completes the paperwork should contact Chris since he should have the record of last year’s transaction.
• If OutVentures is already set, and there are still inside tables available for rental, then we’d be willing to do one of those as an alternative. Otherwise, we decide against spending the $600 for a booth – and then trying to find enough volunteers to man it for 8 hours.
• Since no Pride coordinator has stepped forward and we anticipate problems getting sufficient volunteers to sign up, it was suggested we give away a free membership for a 2-hour chunk of time. An option if we decide we are moving forward with the booth or table.
• Gil provides a list of things which are needed from his stint last year as coordinator: mostly stuff he brought from home and came in handy last time.
• Chris can hopefully do another quick brochure like he did last year; Mark will look into copying options.
• Cathy would be willing to do set-up since she has a truck – and could pick up the table & tent from Fred & Greg’s. The banner is still with Tom Rowan from the potlucks. Fred & Greg normally do tear-down and could take the table & tent back to their place for storage.
• Our next steps depend upon whether
o we are on our own for a booth (skip this year).
o share a booth with OutVentures or get our own inside table (pursue completing the application ASAP). Have another short coordination meeting in June (~ 6/10).
• We think we’ll be OK if we don’t have a presence at Pride this year – since our publicity stuff at the beginning of the ski year has worked well at getting in new members.
Next Planning Meeting
The next planning meeting will be dependent upon what is happening relative to Pride. If we do Pride, we’ll probably need another short coordination meeting in June. If we skip this year, we’ll begin meeting in July as we begin the cycle anew – planning for another fabulous season of trips.
